Using ChatGPT for recruiting

Recruiters who use ChatGPT can often become much more efficient and effective at their jobs. According to research published by Frontiers in Human Dynamics, recruiters using the tool often produced work that was more consistent and accurate [2]. ChatGPT is a truly revolutionary tool, and you can benefit from it most by employing the right strategy.

What is ChatGPT?

Developed by OpenAI, ChatGPT is an AI chatbot designed to answer your questions, generate ideas, automate repetitive tasks, and help you be more productive. Using natural language processing (NLP) technology, it replies in human-like language, distinguishing it from search engines [3].

ChatGPT uses a type of large language model (LLM) called a generative pretrained transformer (GPT) to function. To generate its responses, OpenAI trains ChatGPT on a wealth of digital information, including publicly available internet content. To respond, it uses this information, along with patterns learned during training, to generate reasonable answers.

ChatGPT can simplify a number of tasks for recruiters, with the following being the most common.

Draft job descriptions

Use ChatGPT to draft job descriptions by providing examples from similar postings. Then provide a synopsis of the job you plan to post. Ask ChatGPT to provide a clear and professional job description for the post that aligns with your company's tone and needs.

To ensure completeness, ask ChatGPT to include the following sections in the job description it provides.

  • Job name

  • Department

  • Summary of the job

  • Essential responsibilities of the job

  • Required qualifications

  • Preferred qualifications

Generate candidate outreach messages

As AI’s use in recruiting continues to increase, employers are especially likely to use the technology to create outreach messages and emails to candidates. In fact, using ChatGPT to communicate with potential employees is the second-most popular use of AI technology in recruiting. The 2025 State of Online Recruiting report by iHire found that 68.6 percent of employers use AI to compose messages to candidates, and 49.6 percent use AI tools to send those messages [1].

You might prefer using ChatGPT for candidate outreach because it can quickly draft initial messages. Once you have a basic message, you can personalize it to meet your company’s needs and attract a potential candidate’s attention.

Create screening questions based on competencies

You can also use candidate screening forms to evaluate and group potential employees based on their skills and qualifications. The right candidate screening form can save you a lot of time when you include the right questions.

ChatGPT can help you:

  • Create the most relevant questions for your job description

  • Scale the form to screen a large number of candidates

  • Create consistent formatting

  • Draft clear and concise language

  • Ensure compliance with existing regulations

Screen large quantities of resumes

ChatGPT can significantly reduce the time required to screen and sort resumes. ChatGPT can easily compare candidate resumes against your job description, making it easier for you to find the most qualified candidates. By speeding up the screening process, ChatGPT can shorten your time-to-hire and, with your careful input, help ensure you choose the right person for the job.

What’s the difference between asking Google and asking ChatGPT?

Both Google and ChatGPT offer powerful tools, but they can differ significantly. A traditional Google search uses complex algorithms called web crawlers to provide a list of relevant links. Linking to results lets you see all the source information, including domain names, publication dates, page numbers, and more. You can then cross-reference sources and establish their credibility.

ChatGPT, on the other hand, is a large language model (LLM) that provides answers to user questions based on specific training data. It does not always provide the most recent web information in its responses to prompts. However, ChatGPT can do so, using tools like ChatGPT Search, which prompts the LLM to search the web in real time [4]. While powerful at summarizing large amounts of information, which can save you the time of looking through multiple search results, LLMs like ChatGPT are also prone to hallucinations, or inaccurate responses presented as fact. These can make it hard for you to authenticate search results [5].

When to involve human judgment in recruiting

ChatGPT offers many benefits to the recruiter, but your human judgment remains essential in the recruiting process. In our modern world, hiring typically involves more than posting a job description and fielding resumes. Recruiters must also be able to sift through applications to find the best fit for their company, both in technical and workplace skills.

Therefore, strive for a balance between yourself and AI tools like ChatGPT. Consider using AI tools to speed up repetitive tasks and streamline the recruitment process. Then, take the information ChatGPT has provided and use your human judgment to complete the hiring process.

Consider completing the following recruiting tasks yourself:

  • Assessing cultural fit

  • Evaluating workplace skills

  • Building relationships

  • Making final decisions

  • Providing constructive feedback

Setting up ChatGPT for recruiters

When set up correctly, ChatGPT could save you significant time and reduce your workload. The following steps will help you use ChatGPT for recruiting.

  • Define the recruiting task: Specificity is key when working with ChatGPT. Therefore, to start, tell the tool what task you want it to complete, such as creating a job description, writing an email, or creating screening questions.

  • Gather role requirements, competencies, and company information: Next, train ChatGPT by providing it with information about your company, the role requirements, and your ideal candidate. Make sure to tell the program which core competencies you would like the candidate to possess, such as leadership, results orientation, decision-making, and more.

  • Specify voice and tone: Specify both voice and tone for ChatGPT to ensure it creates writing that aligns with your company’s brand and conveys the right attitude for the candidate.

  • Upload job descriptions or structured candidate criteria: Once you've told ChatGPT what to write and how to write it, it is time to provide the AI tool with any job-specific materials you have. For example, you can input existing job descriptions for the role and the exact candidate qualifications you’re looking for.

ChatGPT prompts for recruiters

Having a ready set of ChatGPT prompts for specific recruiting tasks can be very helpful in the fast-moving world of recruiting. You'll need to customize your prompts to fit each recruiting situation and your company’s needs, but when carefully selected and edited, the following prompts can streamline the recruiting process and save you valuable time.

Prompts for job descriptions

You can use ChatGPT to create job descriptions that attract a diverse range of candidates who align with your company's values and qualifications. Consider this sample prompt:

  • Write a job description for a [job title] at [company name]. Highlight our company values of [values] and [job qualifications]. Use gender-neutral language, avoid jargon, and point out the opportunities for growth in this position.

ChatGPT can further optimize your job description to help it rank higher in search results, such as:

  • Optimize the job description for SEO and offer a list of keywords to incorporate.

You can also use ChatGPT to revise existing job descriptions. For example:

  • Take this existing job description. [Paste in job description.] Ensure the description is professional and engaging, and that it appeals to candidates who share our company values of [company values].

Prompts for outreach and candidate communication

ChatGPT can streamline and even personalize your outreach and communication with candidates. Consider using the following prompts to get started:

  • You are a recruiter interested in a candidate for the [job title] position. Create a 100-200-word outreach email that provides the job description and outlines the job qualifications in bullet points. Use CTA verbs and a sense of urgency, but keep the tone professional.

  • Compose a cold outreach email to [name] at [company]. They are a [job title]. Personalize the email and use a professional tone. Highlight how their experience may be a perfect match for our team at [company name].

Prompts for resume screening

Recruiters often use AI tools to screen resumes, especially when they receive a high volume of resumes. The following prompts may help you use ChatGPT to identify promising candidates:

  • Summarize this resume [insert resume text] and provide its strengths and weaknesses based on the job description [insert job description].

  • Create a shortlist of the most qualified candidates for this position [insert job description]: [provide list of resumes].

  • Provide this candidate’s top qualifications: [insert resume].

Prompts for interviews and evaluations

ChatGPT and other generative AI tools can help you prepare for all aspects of the interview process, including generating a list of interview questions, refining your existing list, and creating a scoring rubric.

The following prompts for interviews and evaluations can help you get started:

  • Generate a list of interview questions that focus on the candidate's leadership skills and ability to work as part of a team.

  • Create ten behavior-based interview questions based on the requirements for this job [insert job description].

  • Develop a 1-5 scoring rubric for each of these interview questions.

Best practices when prompting ChatGPT for recruiting

The more effective your prompts, the better ChatGPT can help you recruit the best people for your company. As you get started in prompt engineering for recruiting, the following best practices may be helpful.

  • Keep your prompts as specific and clear as possible.

  • Review ChatGPT’s response to your initial prompt, and then refine as needed to improve the results.

  • Specify the tone you would like ChatGPT to use in each prompt.

  • Address the ethical implications of using ChatGPT by ensuring a human edits and reviews all information the tool generates.

Is it ethical to use AI in recruiting?

ChatGPT and other artificial intelligence (AI) tools have made the recruitment process much quicker and more efficient for employers, especially when coupled with human expertise. However, many scholars and industry professionals condemn its use as unethical and inherently problematic. They cite AI’s biases and legal implications as substantial ethical concerns.

So, can you use ChatGPT ethically for recruitment? Some scholars, like those who published the 2022 article, Is AI recruiting (un)ethical? A human rights perspective on the use of AI for hiring, say  yes [6]. They elaborate that to use ChatGPT ethically, you must keep humans in the hiring process and never use AI tools to make final hiring decisions. Additionally, regularly auditing your data and AI algorithms can help ensure the recruitment process remains unbiased.

Benefits of using ChatGPT for recruiting

You could receive many benefits by using ChatGPT for recruiters, including:

  • Creating a personalized candidate experience
